Liebe Kolleginnen und Kollegen,

nun ist es soweit: Unsere neue Infrastruktur für eure monatlichen Fortschrittsberichte ist fertig. Sie basiert auf einem einheitlichen Datenbank-Tool, das von allen Konsortien innerhalb der NFDI genutzt wird. Was wir berichten, ist damit nun an die Anforderungen von DFG und NFDI angepasst. Im Wesentlichen (inhaltlich) ändert sich für diejenigen, die schon in der ersten Phase dabei waren nicht viel.

Schließen der Berichtslücke 2025

Da wir in den vergangenen Monaten keine Updates wegen der Anpassungen am Reporting von euch erfragt haben, möchten wir zunächst die entstandene Berichtslücke schließen. Wir beginnen daher mit einem Update zu euren Aktivitäten aus den ersten drei Projektmonaten im letzten Jahr. Wenn ihr mit dem Lesen dieser E-Mail fertig seid, klickt bitte auf die bereitgestellten Links und ergänzt alles, was ihr im Oktober, November und Dezember 2025 für KonsortSWD geleistet habt. Wir bitten euch, diese Informationen bis nach Ostern (Deadline 15. April) vollständig zu ergänzen.

Berichtsrhythmus 2026

Im Anschluss starten wir mit einem weiteren dreimonatigen Berichtszyklus für die ersten drei Monate dieses Jahres, also für Januar, Februar und März (Deadline 30. April). Sehr gern dürft ihr die Angaben natürlich auch jetzt schon eingeben.

Ab Mitte Mai wechseln wir dann in einen monatlichen Rhythmus. Viele von euch kennen dieses Verfahren bereits aus der ersten Projektphase. Jeweils am Ende jedes Monats werden wir euch bitten, eure Informationen in die Datenbank einzupflegen.

Aufbau des neuen Reportings

Künftig stehen euch mehrere Formulare zur Verfügung, über die ihr eure Daten direkt in die Datenbank eintragt. Im Zentrum steht das vielen bereits bekannte Formular zu euren monatlichen Aktivitäten. Abweichend von der bisherigen 1-Fomular-Lösung gibt es nun separate Eingabemöglichkeiten für Events sowie für Publikationen. Diese Kategorien waren früher im selben Formular enthalten, wurden jetzt aber aus technischen und Übersichtgründen voneinander getrennt.

Vorgehen bei der Datenerfassung

Bitte geht künftig wie folgt vor:

Öffnet das Formular zu den Events [1] und füllt für jedes Event, das ihr organisiert habt oder an dem ihr aktiv teilgenommen habt, einen Eintrag aus. Die meisten Bezeichnungen sollten selbsterklärend sein, zu allen Feldern gibt es Hinweistexte, die euch helfen, die richtigen Informationen einzutragen.
Wenn ihr mit den Events fertig seid, tragt bitte mögliche Publikationen ein, die im jeweiligen Berichtszeitraum entstanden sind. Öffnet dazu das Formular für Publikationen [2] und gebt die geforderten Informationen ein. Auch hier unterstützen euch Hilfetexte.
Wenn ihr alle Outputs eingetragen habt, öffnet das Formular für den Monatsbericht [3], das sich eng an die Vorlage aus der ersten Phase anlehnt. Tragt den Berichtsmonat ein.
Für die drei Projektmonate im letzten Jahr gebt bitte jeweils Dezember 2025 als Berichtsmonat an. Für das Sammelupdate zum 1. Quartal in diesem Jahr, März 2026. Wählt anschließend das zugehörige Measure aus und ergänzt die Initialen der Person, die das Berichtsformular ausgefüllt hat. Im weiteren Verlauf gebt ihr euren Aktivitätsbericht ab, markiert gegebenenfalls, ob es ein projektgefährdendes Ereignis gab und ob Anpassungen im Projektverlauf nötig sind. Anschließend könnt ihr die bereits eingetragenen Publikationen verlinken, sodass klar ist, zu welchem Measure oder welchen Measures der Output gehört. Dasselbe gilt für Interaktionen.

Unterstützung und Rückfragen

Uns ist bewusst, dass dieser Prozess trotz aller Vorbereitungen Fragen aufwerfen wird. Wendet euch bei Unklarheiten gerne an eure TA-Koordinatorin und stellt eure Fragen dort. Wir werden die Infrastruktur bei Bedarf entsprechend anpassen und verbessern

Dear colleagues,

The time has come: our new infrastructure for your monthly progress reports is ready. It is based on a unified database tool that will be used by all consortia within the NFDI. This means that what we report is now aligned with the requirements of the DFG and NFDI. For those who already participated in the first phase, the content-related changes are minimal.

Closing the 2025 reporting gap

As we haven’t asked you for updates in recent months, we would now like to close the resulting reporting gap. We’ll start with an update on your activities from the first three project months of last year. After reading this email, please click the links provided and add everything you contributed to KonsortSWD in October, November, and December 2025.
Please complete this information in full by April 15 (after Easter).

Reporting rhythm for 2026

We will then launch another three-month reporting cycle for the first quarter of this year—January, February, and March—with a deadline of April 30. Of course, you’re welcome to enter your information already now.
From mid-May onward, we will switch to a monthly reporting rhythm. Many of you will remember this procedure from the first project phase. At the end of each month, we’ll ask you to enter your updates into the database.

Structure of the new reporting system

Several forms are now available, allowing you to enter data directly into the database. The core element is the familiar form for monthly activities. Unlike the previous single-form approach, there are now separate entry forms for events and publications. These categories were previously included in the same form but have now been split for technical and clarity reasons.

Data entry procedure

Please proceed as follows:

Open the events form [1] via the link and create one entry for each event you organized or actively participated in. Most labels should be self-explanatory, and all fields include help texts to guide you.
Once you’ve completed the events, please enter any publications produced during the reporting period using the publications form [2]. Again, you will find help texts to support you.
After entering all outputs, open the monthly updates form [3], which closely follows the template used in the first phase. Enter the reporting month. For each of the three project months from last year, please enter December 2025 as the reporting month. For the consolidated update for the first quarter of this year, enter March 2026. Then select the relevant measure and add the initials of the person completing the report. Next, submit your activity report, indicate whether any project-threatening events occurred, and whether adjustments to the project plan are required. You can then link already-entered publications so it’s clear which measure(s) each output relates to. The same applies to interactions.

We’re aware that, despite all preparations, this process may raise questions. Please contact your TA coordinator if anything is unclear. We will adjust and improve the infrastructure as needed.
